Board of Directors – ASTD/Tallahassee Chapter

 

Term:                           One Year

 

Purpose:                       To provide the vision, structure, guidance, team spirit and communication systems for Board members to carry out specific tasks and responsibilities.

 

Responsibilities:

 

Ensure progress in meeting CORE requirements established by ASTD National.

 

Review the progress of goals, strategies and projects at Board meetings.

 

Lead Board and Chapter meetings; participate in Chapter events, provide assistance and direction to committees, task force and work groups.

 

Build, motivate and lead team of member volunteers; delegate tasks and monitor follow-through.

 

Oversee the sound financial status of the Chapter, approve Chapter budget and monitor budget reports.

 

Attend and participate in Board meetings and Chapter meetings. Participate in Chapter events; provide assistance and direction to committees, task force and work groups, as needed.

 

Ensure all Board members have received training for their respective positions.  

 

Maintain memberships of ASTD National and ASTD Tallahassee Chapter.

 

Represent Chapter professionally and ethically in all business functions/organizational activities.

Volunteer Position Description

 President Elect/Vice President of Programs

Board of Directors – ASTD/Tallahassee Chapter

 

Term:                           One Year

 

Purpose:                       To assist the President in performance of Chapter management duties, automatically succeeding to President. Oversee Chapter program functions, including responsibility for topic/speaker selection and overall meeting management.

 

Responsibilities:

 

Succeed to President upon expiration of President’s term or upon resignation; assume duties of President when President is absent from Board meetings or Chapter meetings/functions.

 

Assist the President with Chapter organization and management, goals, strategies and projects.

 

Ensure program management meets CORE requirements established by ASTD National.

 

Evaluate survey data and input from Board, task forces/work groups related to program topics and speakers.

 

Plan and organize programs, advise speakers, obtain speaker equipment and direct program portion of meeting.

 

Work with VP’s of Communication and Technology to advertise and post agenda and program/speaker details.

 

Conduct program evaluations; provide summary to the Board.

 

Attend and participate in Board meetings and Chapter meetings. Participate in Chapter events; provide assistance and direction to committees, task force and work groups, as needed.

           

Maintain memberships of ASTD National and ASTD Tallahassee Chapter.

 

Represent Chapter professionally and ethically in all business functions/organizational activities.

 

Recruit and train incoming President Elect/VP of Programs.

Volunteer Position Description

 Vice President of Finance

Board of Directors – ASTD/Tallahassee Chapter

 

Term:                           One Year

 

Purpose:                       To ensure the Chapter’s sound financial status. To maintain and promote continuity of the Chapter’s financial records.

 

Responsibilities:

 

Ensure financial management meets CORE requirements established by ASTD National.

 

Audit income/expenses on a monthly basis to ensure Chapter’s sound financial status. Prepare and present financial information for Board.

 

Prepare Chapter budget with input from Board members. Finalize and present budget to the Board.

 

Establish and monitor control procedures for the collection and disbursement of funds. Obtain signature approval and back-up records by responsible Board member for all expenditures.

 

Efficiently collect and disburse funds as authorized by established procedures, including depositing funds and paying Chapter bills, on a timely basis.

 

Establish and maintain accurate records of income and disbursements, following good bookkeeping practices.

 

Work in concert with VP’s of Membership, Communication and Technology to maintain an accurate list of paid members. Maintain communication with ASTD National, as needed.

 

Receive payments and supervise the registration process for program meetings. Ensure registration procedures permit timely, accurate data collection for attendance and fees collected. Provide summary of cost and net profit for review with Board members.

 

Attend and participate in Board meetings and Chapter meetings. Participate in Chapter events; provide assistance and direction to committees, task force and work groups, as needed.

           

Maintain memberships of ASTD National and ASTD Tallahassee Chapter.

 

Represent Chapter professionally and ethically in all business functions/organizational activities.

 

Recruit and train incoming Vice President of Finance.

Volunteer Position Description

 Vice President of Communications/Secretary

Board of Directors – ASTD/Tallahassee Chapter

 

Term:                           One Year

 

Purpose:                       To provide administrative support for the Chapter. To ensure the accurate retention and communication of Chapter proceedings and records.

 

Responsibilities:

 

Ensure communications management meets CORE requirements established by ASTD National.

 

Ensure that accurate minutes are taken and maintained as legal record of the Chapter’s business meetings.

 

Distribute minutes and project status reports on a timely basis following meetings.

 

Work in concert with VP’s of Membership and Technology to post membership directories, programs and notices; maintain an open line of communication and coordination of duties. Maintain communication with ASTD National, as needed.

 

Receive registrations for program meetings and assist with on-site registration process to ensure accurate data collection for attendance and fees collected. Assist VP of Finance with summary information for Board review.

 

Collect newsworthy information (articles, calendar information, etc.) for posting to the website.

 

Attend and participate in Board meetings and Chapter meetings. Participate in Chapter events; provide assistance and direction to committees, task force and work groups, as needed.

           

Assist directors and committee chairs who may require administrative support, as available.

 

Maintain memberships of ASTD National and ASTD Tallahassee Chapter.

 

Represent Chapter professionally and ethically in all business functions/organizational activities.

 

Recruit and train incoming Vice President of Communications/Secretary.

 Vice President of Technology/Website

Board of Directors – ASTD/Tallahassee Chapter

 

Term:                           One Year

 

Purpose:                       To provide technology support for the Chapter. To ensure the accurate communication and retention of Chapter website business.

 

Responsibilities:

 

Ensure website communications management meets CORE requirements established by ASTD National.

 

Work in concert with VP’s of Membership and Communication/Secretary to post membership directories, programs and notices; maintain an open line of communication and coordination of duties. Maintain communication with ASTD National, as needed.

 

Receive, plan and organize the distribution of Chapter news on the website, including announcements, advertising, promotional materials, etc.

 

Support Chapter goals of improving the website to serve as an effective communication tool, and a mechanism to service members efficiently and effectively in areas of membership renewal, program registration, membership directory, etc.

 

Prepare website submissions (text, pictures, graphics) for layout and posting. Obtain final approval and post.

 

Attend and participate in Board meetings and Chapter meetings. Participate in Chapter events; provide assistance and direction to committees, task force and work groups, as needed.

           

Assist directors and committee chairs who may require technical support, as available.

 

Maintain memberships of ASTD National and ASTD Tallahassee Chapter.

 

Represent Chapter professionally and ethically in all business functions/organizational activities.

 

Recruit and train incoming Vice President of Technology/Website.

Volunteer Position Description

 Vice President of Membership

Board of Directors – ASTD/Tallahassee Chapter

 

Term:                           One Year

 

Purpose:                       To manage overall membership functions, recruit new members and ensure member satisfaction. To manage recognition programs.

 

Responsibilities:

 

Ensure membership management meets CORE requirements established by ASTD National.

 

Work in concert with VP’s of Finance, Communication/Secretary and Technology/Website to track and post membership information and directories; maintain an open line of communication and coordination of duties. Maintain timely communication with ASTD National regarding new members.

 

Track new, renewed and expired memberships. Collect, analyze and report demographic data gathered from membership applications and/or surveys.

 

Respond to requests for membership information and member benefits. Conduct follow-up with prospective members. Provide a summary report for Board member review, at least quarterly.

 

Receive, plan and organize the distribution of membership information, in concert with other VP’s.

 

Ensure members and guests are welcomed by a Chapter greeter at program meetings. Display membership information.

 

Support Chapter goals of increasing membership using various recruiting strategies. 

 

Survey expired memberships semi-annually to determine reasons and report findings to the Board.

 

Attend and participate in Board meetings and Chapter meetings. Participate in Chapter events; provide assistance and direction to committees, task force and work groups, as needed.

 

Maintain memberships of ASTD National and ASTD Tallahassee Chapter.

 

Represent Chapter professionally and ethically in all business functions/organizational activities.

 

Recruit and train incoming Vice President of Membership.
